The receptionist at the dental clinic pointed to the form in front of me and said exactly those three words. If this had happened to me years ago, it probably would have stayed with me all day. I would have read into it, questioned it, wondered whether something more was going on beneath that tone.

Are they dismissing me because I’m an international student? Or do they simply assume I don’t understand English?

But the version of me today responded differently. Not because I’ve become indifferent, but because I’ve learned to pause to create a small space before interpreting.

Looking back, I think years of doing research have shaped how I respond to moments like this though perhaps not in the way people might expect.

It’s not that research taught me to avoid my emotion. It’s that research taught me to notice when emotion is overtaking judgment.

There are four thinking habits from research that I find myself carrying into everyday life not as a formula, but as a lens.

1. Recognizing personal bias

There is a common misconception in qualitative research: that a good researcher is one who is completely objective, someone who keeps their emotions and personal experiences entirely out of the data. But Braun & Clarke (2021) have argued the opposite: Researcher subjectivity is not something to be eliminated, but a resource to be critically recognized and reflected upon.

What does that look like in practice? It doesn’t mean I had no emotional reaction to the receptionist. I did. But I recognized that my reaction was being affected by my identity as an international student who had sometimes felt invisible. Recognizing that didn’t make the reaction disappear. But it created a small distance between feeling and conclusion.

This is what researchers call reflexivity, a disciplined practice of critically interrogating what we do, how and why we do it, and what influences our interpretations.

2. Seeking multiple perspectives

Triangulation — gathering information from multiple sources — is a principle in qualitative research designed to avoid over-reliance on a single data point. In everyday life, I draw on that same spirit when I ask myself: Is there another plausible explanation for what I just experienced?

But I also want to be honest about something: seeking multiple perspectives does not mean all interpretations are equally valid, or that I am always obliged to sympathize with someone who has made me uncomfortable. Sometimes, after considering things carefully, I still conclude that the behavior was inappropriate. What matters is the process: that I examined the situation deliberately, rather than reacting on instinct.

3. Avoiding premature conclusions — and learning to live in uncertainty

In research, premature closure is one of the greatest risks in qualitative analysis. When we rush to conclude, we close the door on more complex dimensions of what the data might be telling us.

Braun & Clarke (2021) put it in a way that has stayed with me: to do qualitative research well, one must learn to live in uncertainty, not because answers don’t exist, but because reality is almost always more layered than any quick conclusion allows.

The moment at the dental clinic was small. But it reminded me of that habit: don’t jump into the conclusion of the story too quickly. The receptionist may have been exhausted. She may have repeated that same routine hundreds of times that day. And — this is something I will never know for certain — she may have meant nothing by it at all.

4. Contextualizing situations

Contextualization is one of the foundational principles of qualitative inquiry. When analyzing a behavior or a phenomenon, we cannot isolate it from the system in which it occurs: Its social, institutional, personal, cultural, and historical dimensions all shape its meaning.

This does not mean every behavior can be explained away. Some actions are wrong regardless of context. But in this case, context helped me resist the impulse to place myself at the center of a story in which I was, most likely, just a small detail in someone else’s long day.

What I want to say in the end is not that research teaches us to stop feeling. Emotion is part of being human, and in qualitative inquiry, as Braun & Clarke remind us,

subjectivity is not the enemy of understanding. It is, in many ways, the very material of it.

What research has taught me is something more subtle: how to notice when I am interpreting and when I am judging. How to create a small pause between what happens and the meaning I assign to it. How to hold a question open, not because I have no opinion, but because reality tends to be more complex than what surfaces in the first moment.

And sometimes, that is also how I manage to move through life a little more lightly, not because I no longer feel discomfort, but because I have learned not to let a small moment define an entire day.

I wasn’t surprised. This is one of the most pervasive points of confusion in academic research not only among beginners, but sometimes among experienced researchers as well. Much of that confusion stems from the fact that these terms are frequently used interchangeably in published academic work, and explained in inconsistent ways across disciplines, sometimes even within the same field.

But the confusion runs deeper than terminology. When a researcher cannot clearly distinguish between these four concepts, the consequences can be quite serious: a theory gets named but never connected to the research question; a framework gets listed like a menu rather than argued like a system; an approach gets chosen but sits in tension with the theory it is supposed to serve. These are precisely the points where editors and reviewers tend to desk reject manuscripts.

This piece distinguishes the differences and relationships between Theory, Model, Framework, and Approach and offers practical guidance for using each of them accurately and purposefully in your research.

1. Theory — The Foundation That Explains Why

A theory is a systematically constructed set of concepts, definitions, and principles often grounded in historical, cultural, and social foundations, developed to explain or predict a phenomenon. The critical point: a theory does not merely describe what is happening; it explains why it happens. This is precisely why theories tend to be broad in scope and applicable across a range of contexts.

In research, a theory functions as a cognitive foundation. It provides the rationale for why the phenomenon you are studying matters, and it orients the lens through which you observe it.

Example: Everett Lee’s Push-Pull Theory (1966) explains why individuals leave their home countries to migrate elsewhere, through two sets of forces: factors that push a person away from their origin (push factors) and factors that pull them toward a new destination (pull factors). The theory doesn’t simply describe the phenomenon of migration. It offers an explanatory mechanism for the decision to migrate.

Practical note: When you use a theory, you need to make explicit why this particular theory suits the phenomenon you are studying, and how it helps you develop your research design, justify your research gap, or guide your data analysis and interpretation. A theory that is not clearly connected to your research question becomes decoration, present on the page but performing no real function. The absence of a clearly articulated theoretical rationale is one of the most common reasons manuscripts are rejected.

One more thing worth stressing: not every study needs a grand, widely-cited theory. What matters far more is that the theory you choose is appropriate, capable of explaining the phenomenon you care about, in the specific context you are investigating.

2. Model — Operationalizing How

If a theory answers the question why, a model answers the question how. A model illustrates the relationships among elements and concepts often in diagrammatic or structural form, to explain or predict a phenomenon within a more specific context. Models are typically built upon one or more theories, but they go further by operationalizing those theoretical concepts into components that can be observed, measured, and tested.

This is the key distinction: a theory explains; a model operationalizes that explanation into something concrete enough for empirical research to act upon.

Example: Berry’s Acculturation and Coping Strategies Model (1997) draws on theories of cultural adaptation but extends them by specifying four distinct strategies that individuals may employ when navigating a new cultural environment: integration, assimilation, separation, and marginalization. The model doesn’t just help us understand why acculturation occurs. It gives researchers a structure for measuring and comparing specific adaptive responses.

Practical note: When selecting a model, examine carefully whether it genuinely fits your specific research context. A model developed within a Western context does not automatically transfer to research in Southeast Asia or other cultural settings. If you adapt or extend an existing model, explain the reasoning and basis for that adaptation clearly. This is one of the most meaningful ways to demonstrate your study’s theoretical contribution not replicating a model but developing it in a new context.

3. Framework — The Conceptual Map That Organizes Everything

A framework is a conceptual structure built to organize and orient an entire research study. It may draw together multiple theories, models, and key concepts to create a kind of intellectual map, one that enables the researcher to analyze and interpret data systematically and consistently.

There are two common types, and the distinction between them matters more than most people realize:

A theoretical framework is built from established theories and models, and serves to position the research within the intellectual tradition of its field. As Varpio et al. (2020) describe it, a theoretical framework is the product of work, the active intellectual labor a researcher undertakes to demonstrate how theory shapes the research design: the questions asked, the way the context is approached, the data collection decisions, and the interpretive choices made at the end. In other words, constructing a theoretical framework is not simply a matter of selecting a theory. It is the work of translating that theory into a functioning structure within your specific study.

A conceptual framework, by contrast, is typically constructed by the researcher themselves, synthesizing the key concepts relevant to the research problem. It answers two essential questions: Why does this research need to be done? and What might these findings contribute to what is already known? It is more flexible than a theoretical framework, and reflects how the researcher defines the relationships among the core variables or concepts in their own study.

There is also a subtler point that often goes unaddressed: how a framework operates depends significantly on your research design. In deductive research (moving from theory to data), a theoretical framework is typically established before data collection begins. In inductive research (moving from data to theory), a framework may develop and evolve during data analysis. And this is entirely legitimate methodologically, not a sign of unpreparedness.

Example: A framework built on AMO Theory and Person-Environment Fit Theory to study the determinants of individual performance in organizations — integrating dimensions of ability, motivation, and opportunity alongside the fit between person and organizational context — would be one way to construct a purposeful theoretical framework that does real explanatory work.

Practical note: One of the most common errors is listing multiple theories without explaining how they connect to each other and why their combination serves your particular research. A framework is not a list. It is a structured argument about how you understand your research problem.

Make it explicit: How does your framework help answer your research question? What analytical direction does it give you? Which concepts are foregrounded, and why?

4. Approach — The Philosophy Behind the Method

A research approach is the overarching strategy or orientation a researcher adopts to carry out a study. It reflects not only how you collect and analyze data, but also your methodological stance and philosophical perspective — that is, what you believe about how knowledge is produced, and how reality can be studied.

This is the dimension many people overlook: a research approach is not simply a choice between qualitative and quantitative. It is an expression of your epistemology (what you believe knowledge is and how it is generated) and your ontology (what you believe the nature of reality to be). A researcher working from a constructivist orientation believes that reality is socially constructed and inherently subjective; a positivist researcher believes there is an objective reality that exists independently of the observer. These two researchers will approach the same phenomenon in fundamentally different ways, not just in their methods, but in how they frame their questions, design their study, and interpret their findings.

Example: A qualitative approach is suited to exploring the depth of lived experience and meaning; a quantitative approach is suited to measuring variables and testing relationships; a mixed-methods approach allows both dimensions to be investigated within a single study.

Practical note: Your approach must be consistent with the theory, model, and framework you have chosen. And it must be capable of answering your research question. If you draw on a constructivist theory to explain a phenomenon but then adopt a purely quantitative approach without justifying that choice, reviewers will raise questions about the coherence of your research design. Articulating clearly why your chosen approach is the most appropriate for your research question is one of the most important things you can do in your Methodology chapter.

Four Points to Keep in Mind

• Explain, don’t just name. A common problem in academic writing is naming a theory or framework without explaining why it was chosen and what role it plays. The presence of a theory in a paper is not the same as having a strong theoretical foundation. A theory only performs its function when it is clearly connected to the research question, the data, and the conclusions.

• Use terms consistently. Each of these four concepts has a distinct role and cannot substitute for the others. Using “framework” when you mean “model,” or vice versa, does not merely create confusion. It quietly undermines the scholarly credibility of your work.

• Go back to the original sources. Always consult the primary work of the scholars who developed the theories or models you are using. Understanding the original intent and context of a theory is a prerequisite for applying it accurately and for avoiding the kinds of misreading or mechanical application that reviewers notice immediately.

And that understanding — reflective, intentional, and grounded — is the foundation of scholarship that is genuinely deep and genuinely convincing.

Because every night, I listen to them and sing along with my daughter before she goes to sleep.

Learning, research, and skill development follow a very similar logic. It is not about doing a lot. It is about doing it consistently. Small accumulations, repeated over time, eventually lead to real growth.

There is a children’s song that reflects this logic perfectly:

An egg, if it is not incubated, remains just an egg.
An egg that is warmed day and night becomes a chick.
A grain, if not planted, remains just a grain.

The message is simple but powerful.

An egg left untouched will eventually rot. A grain left unused will grow mold. Potential that is not nurtured slowly fades away. This is true for seeds and it is just as true for research capacity.

People often say that doing research means reading academic papers every day. I cannot do that and I suspect many others cannot either.

There are periods when I read intensively, such as when I am writing a paper or working on a specific project. There are also periods when I do not read at all. But I never stop doing research, at least not in a broader sense of what research means.

What follows are a few habits I maintain to keep the “grain” from going moldy, even when I am not reading journal articles every day.

1. Reading: Not just to know, but to question and connect

Reading is a foundational habit for researchers. But there is an important distinction between:

• Passive reading: collecting information

• Active reading: questioning, critiquing, and connecting new knowledge with what you already know

You do not need to read journal articles every day. But you should maintain a rhythm of intellectual engagement that fits your life.

For example:

• Follow researchers, professors, or colleagues in your field on platforms like LinkedIn, Twitter, or ResearchGate. Even short posts or discussions can stimulate new thinking.

• Read academic blogs, analyses, or newsletters. These are often more accessible and easier to sustain than full-length articles.

More importantly, whenever you read anything, build the habit of asking:

• How does this connect to what I already know?

• What here makes me want to explore further?

This is where research thinking begins.

2. Writing: Not just to publish, but to develop critical thinking

Writing is not only a skill but a tool for critical thinking.

When you write, you are forced to clarify your understanding, identify gaps in your thinking, and organize your ideas more systematically. This is why many experienced researchers see writing not as a final step, but as an integral part of the thinking process itself.

You do not need to write papers every day. But you can:

• Write about an interesting observation from your research or teaching

• Record emerging ideas, unanswered questions, or contradictions you notice

• Keep a reflective journal not to describe your day, but to analyze it

Ask yourself:

• What did I learn today?

• What puzzled me?

• How has my perspective changed?

Writing regularly, even a few short paragraphs, helps you develop academic voice, clearer thinking, and a habit of reflection. These are essential foundations for serious research work.

3. Asking questions: Not for immediate answers, but for depth

One of the most important qualities of a researcher is not how much they know, but how well they ask questions.

Good questions do more than open new directions. They force us to re-examine assumptions we often take for granted.

Try building a daily habit of:

• Writing down at least one question, inference, or hypothesis related to your field

• Questioning what you read:

  • Is there another way to approach this?

  • Would the results change in a different context culturally, temporally, or with a different population?

  • What assumptions is the author making but not stating?

Engaging in discussions with colleagues or research communities is equally important. Being challenged and challenging others are those of the fastest ways to uncover blind spots in your thinking.

4. Practicing slow thinking: Not to do less, but to go deeper

We live in a world that rewards speed and volume. Research requires something different: depth.

Good research is not produced by those who move fastest, but by those who think most carefully.

“Slow thinking” does not mean doing less. It means thinking deliberately.

When you encounter a problem, resist the urge to jump to conclusions. Instead:

• Write it down

• Examine it from multiple perspectives

• Treat it as a focus of inquiry

This habit not only improves the quality of your thinking but also allows you to notice details others might miss.

It also requires limiting multitasking. Research consistently shows that multitasking reduces cognitive quality. Focus on one task at a time.

5. Connecting daily: Not just to network, but to expand knowledge

Research is not a solitary journey even if it sometimes feels like one. Knowledge is created through discussions:

• between ideas

• between perspectives

• between people

Engage with research communities not only to learn, but to test and refine your thinking.

• Connect with researchers in your field on platforms like LinkedIn, X, Bluesky, or ResearchGate

• Participate in seminars, conferences, or online discussions

Sometimes, a single question from the audience or a brief comment after a presentation can open a line of thinking you would never find in a journal article.

No one becomes an excellent researcher just in a day, a month, or even a year. And no one needs to read academic papers every day to make progress. What makes the difference is not intensity but consistency and depth.

Each day, you can plant a small seed:

• read a short text and ask a question

• write a brief reflection

• spend ten minutes thinking deeply about an unresolved issue

• share your idea with a colleague

These small seeds, if planted consistently and in the right conditions, will eventually grow into a field.

When I first began learning how to do research, I often complained to my friends about this. For beginners, reading research articles can feel genuinely difficult. Dense terminology, unfamiliar structure, and an overwhelming volume of information can leave readers exhausted, confused, and frustrated after spending hours on a single paper.

After a while, I realized I was making a very common mistake: I was trying to do too much while reading. I always read from beginning to end. At the same time, I was taking notes on vocabulary, sentence structures, and content. One article could take me an entire afternoon, sometimes even a whole day. Yet what stayed with me afterward was often fragmented. I felt slow, discouraged, and not much closer to real understanding.

What I have learned over the years is this:

Reading academic articles becomes much easier once you are clear about what you are trying to understand from that article.

In other words, what is your purpose for reading?

In this piece, I want to share five of the most common purposes for reading research articles; whether you are just entering research or have been on this journey for years.

1. Reading to build a foundation for a new research area

This is how I read when starting a new project or entering a field that is completely unfamiliar to me. At this stage, I am not trying to understand every detail. My goal is to build the big picture: the key concepts, the major issues under discussion, and the most significant findings the field has produced so far.

For this purpose, I focus on three sections:

• Abstract: to quickly grasp the overall study

• Introduction: to understand the context, the problem, and the author’s framing

• Conclusion: to identify the most important findings and why they matter

The most useful techniques here are skimming and scanning. I skim for keywords and major themes, then scan for the central ideas. I also note striking findings and organize them into a table or visual map so I can see the overview more systematically.

One important suggestion is to start reading literature reviews or systematic review papers. They are often the most efficient way to understand a research area. With regular empirical articles, you do not always need to read the full Methodology or Findings sections unless you specifically want to understand how the topic has been studied.

In 2024, I worked as a research assistant for two professors on topics that were completely new to me: Belonging in digital learning and Music teacher education. Using this strategy, I found research reading far more manageable and productive than I expected.

2. Reading to identify research gaps and develop research ideas

This is one of the most intellectually demanding purposes for reading, and it is also what distinguishes a passive reader from an active researcher.

Identifying a research gap is not simply about finding what the author did not do. It is about asking deeper questions: What has not yet been asked? What has not been sufficiently tested? What remains underexplored or underexplained? This is where original and meaningful research ideas begin to take shape.

When reading for this purpose, I pay closest attention to three sections:

• Introduction: Authors often state or imply the gap when explaining why their study is needed

• Discussion/Conclusion: Limitations and suggestions for future research are often the most direct sources of possible gaps

• Methodology: Methodological choices can also reveal gaps; for example, a large-scale quantitative study may leave personal experience unexplored in ways that qualitative work could address

As I read, I often ask myself questions such as:

• Can these findings be generalized to a different group?

• Does the method fully address the problem?

• Would the findings hold in another educational or cultural context?

• How might this idea be adapted to my own research?

When you record these gaps across multiple articles, patterns begin to emerge. That is often where clearer and more systematic research questions begin to form.

3. Reading to analyze research methodology

Research methodology is the backbone of any scholarly study. I usually read with this purpose when I am preparing to design a new project and want to understand how other researchers selected their design, collected data, and analyzed it.

Naturally, the main focus here is the Methodology section. This is where the author explains the sample, the data collection tools, and the analytical process. Reading this section carefully helps me in two ways. First, it helps me learn how to apply or adapt methods that have already been used successfully; second, it gives me stronger methodological reasoning when I later need to justify my own choices.

I often compare the method used in the article with my own research questions:

• Would this method fit my context?

• What limitations should I pay attention to?

• Does this design match the kind of question I want to answer?

Comparing methods across several studies is also one of the best ways to determine which approach is truly suitable for different kinds of research questions.

Reading for methodology strengthens your ability to design research systematically and reliably. It also helps you avoid common mistakes when applying methods without thinking carefully about context.

4. Reading to find references and citations for my own paper

When writing a thesis or academic paper, accurate and relevant citation is essential. I usually read for this purpose when I need a source to support a specific argument or when I need empirical evidence for a claim.

This kind of reading is much more targeted. I usually focus on:

• Abstract: to quickly determine whether the article is relevant

• Results: to locate concrete findings or data I may cite

• Discussion: to see how the author interprets the findings and connects them back to theory

I also highlight important sections and leave short notes about how I might use them in my papers. This small habit saves a great deal of time later when I return to the source while drafting.

5. Reading to improve academic language and writing

This is a purpose many people either overlook or confuse with the others. I used to read for content while also collecting useful vocabulary and sentence structures. In reality, I was trying to do two different things at once and not doing either particularly well. Now I separate those purposes.

When I need help with academic expression, I read specifically for language.

For example, when I was writing an article using autoethnography, I was unsure how to present and analyze my own data while also connecting it with previous studies. So I found published articles using the same method and focused only on the Findings and Discussion sections. I was not reading for content in the usual sense. I was reading to observe how authors described data, connected data with theory, structured arguments, and moved between paragraphs.

I note useful phrases and rhetorical patterns, then practice rewriting them in relation to my own data. Reading for language not only improves writing. It also helps develop a deeper sense of how academic ideas are presented clearly, coherently, and persuasively.

Reading research articles is not a skill most people master immediately. And there is no single “correct” way to read every paper. What makes the difference is not reading more. It is…

Once you know why you are reading, you also know which sections deserve your attention, which sections you can leave for later, and what kind of notes are actually worth taking. Reading becomes more efficient, less exhausting, and much more meaningful.

You can also combine purposes in a single reading session. I often read at once for a broad understanding of the field, for methodological insight, and for identifying research gaps. These goals often support one another naturally.

And one final point: do not read in isolation from your note-taking system. Use tools such as AI, Zotero, or MAXQDA to record and organize what you learn. Research reading rarely involves just one or two articles, and our minds cannot retain everything. Without an effective strategy for annotation and organization, even purposeful reading becomes difficult to sustain.

A practical way to think about AI and research software is this: they are productivity tools, not substitutes for scholarly thinking. Below are several categories of tools that commonly support the research process, from reference management to data analysis.

1. Reference management software

I know many researchers still manage references manually. I used to do the same, and for a while it felt manageable. But at some point, I realized that research had become part of my daily work. And once research becomes part of your everyday practice, references are no longer a small technical task. They become an ongoing demand on your time and attention.

That was when I decided to learn Zotero. I wanted to spend less time searching, checking, and correcting small technical details. In addition to Zotero, many researchers also use Mendeley or EndNote.

Using Zotero helps address many of the limitations of managing references manually:

• organizing sources neatly into folders by project,

• generating and formatting citations automatically in multiple styles, such as APA or Chicago,

• synchronizing and sharing sources, especially for team-based research,

• integrating with writing software so you can write and manage references without constantly breaking your focus, and

• reducing the risk of missing sources in your citations.

Reference management software allows you to shift time away from technical formatting and toward higher-value academic work: reading, analyzing, and synthesizing literature.

The main limitation I have found with Zotero is that it is not always flexible when source information imported from the web does not match the citation style you need. For example, if a title is imported in UPPERCASE, I may still need to correct it manually in Sentence case. for APA 7th.

2. Generative AI

AI can be useful for:

• reviewing sentence clarity,

• suggesting alternative phrasing,

• checking paragraph coherence,

• recommending journals based on topic and word count,

• providing initial direction on a research topic or theoretical frame, and

• suggesting terminology or conceptual angles.

Sometimes, after drafting a paragraph, I know the idea is there, but the wording still feels awkward. In those moments, I may ask GenAI to help improve clarity. But I always review the language carefully. AI sometimes produces wording that sounds polished but is not appropriate for academic writing. In other words, it can become overly decorative in places where precision matters more.

I also use GenAI as a faster, more focused version of search. For example, if I have a manuscript that still exceeds 10,000 words and I need to identify journals in my area that accept papers of that length, I may ask AI to generate an initial list. Then I go directly to each journal website myself to verify the aims, scope, and submission guidelines before making any decision.

At times, I also use GenAI to generate ideas. For instance, when analyzing data, I may encounter a complex excerpt and struggle to name what I am seeing conceptually. In those moments, AI can sometimes suggest useful terms or possible interpretive directions.

That said, academic writing demands high precision in both terminology and argument. Every AI-generated suggestion must therefore be reviewed, revised, and judged carefully.

3. Literature discovery and citation-network tools

Platforms such as Connected Papers, ResearchRabbit, and Litmaps help researchers identify related studies by visually mapping connections between papers, beginning with a key article.

These tools offer several advantages:

• They visualize relationships among studies in an intuitive way.

• They save time by linking quickly to related papers across platforms.

• They are useful across disciplines, whereas some databases are more field-specific.

• They do not rely only on direct citation links; they also identify content similarity, which helps surface relevant studies that may not cite one another directly.

• They make it easier to trace both earlier and more recent work in order to understand the broader landscape of a topic, including methods, theories, and contexts.

These tools are especially useful once you have already identified several core papers. From there, you can move outward in both directions: backward to foundational work and forward to newer studies.

One limitation is that free accounts often restrict the number of searches. For that reason, I usually use these tools only after I have already searched databases or Google Scholar and identified a few high-quality anchor papers that are closely relevant to my project. Starting from a strong core paper makes the citation map much more meaningful. It helps me see broader research trends and assess the novelty of my own work more clearly.

4. Tools for systematic reviews

When I need to conduct a systematic literature review, I usually turn to Covidence or Rayyan. These platforms are especially useful for research teams because they help automate parts of the review process, support collaborative screening, and make source selection more efficient.

They are particularly helpful for:

• screening studies in multiple rounds,

• supporting team-based reviewing,

• tracking inclusion and exclusion decisions, and

• managing PRISMA-related processes systematically.

These tools help standardize the review workflow and reduce errors in large-scale evidence synthesis. Their main drawback is cost. Most are paid platforms, so they are usually most suitable for team projects or funded studies.

5. Data analysis software

Programs such as MAXQDA, NVivo, and ATLAS.ti play an important role in qualitative data analysis and can also support literature synthesis.

At this point, MAXQDA is very much my favorite because of how much it improves on manual work.

Although it is often introduced as data analysis software, I use it for both literature reviews and qualitative analysis. It solves many of the frustrations I used to face when doing literature reviews manually: reading PDFs one by one, highlighting passages, and keeping notes separately in Excel or Word.

What makes it especially valuable for me is that everything stays in one place:

• the articles I read,

• the notes I write,

• the codes I create, and

• the analytic structure that develops over time.

Because everything is centralized, it becomes much easier to retrieve notes later for synthesis. MAXQDA’s search and retrieval functions are particularly strong. It also supports comparing coded data, identifying patterns, and building themes: both in literature reviews and in empirical qualitative analysis.

Another major strength is that it works with multiple data types, including:

• text,

• images,

• audio, and

• video.

In short, software like MAXQDA can support many stages of research:

• coding and analyzing qualitative data,

• organizing literature for review,

• retrieving and synthesizing reading notes,

• building themes and analytic frameworks, and

• working across multiple forms of data.

Keeping your documents, notes, and coding in one platform makes the research process far more systematic and far easier to navigate than manual methods. You no longer have to jump endlessly from one PDF to another just to piece your thinking together.

Honestly, the only real disadvantage I have found with MAXQDA is that you have to pay for it. That said, it does offer student pricing and frequent promotions. The cost can be quite reasonable, especially if it significantly improves the quality and efficiency of your research workflow.

For graduate students and early-career researchers in particular, conferences also function as academic training environments. They offer a space to experiment with scholarly argumentation, respond to critical questions, and position one’s work within broader academic conversations.

A single research project rarely produces just one scholarly output. In practice, the same project can generate multiple conference presentations at different stages of development. Understanding these formats helps researchers make better use of conference opportunities.

1. Completed or published research: The safe option

Submitting a completed or published study is the least risky option. It ensures methodological accuracy and provides a well-developed narrative when presenting.

This type of presentation works well if your goal is to:

• share validated findings,

• disseminate the contribution of a published paper,

• increase academic visibility and recognition, and

• connect with scholars working on related topics.

The benefits include:

• strengthening professional credibility,

• extending the reach of your research across academic communities, and

• opening opportunities for collaboration or citation.

Presentation tip:
Rather than simply repeating the content of the published article, emphasize practical implications, new research directions, or insights that emerged after publication. This keeps the presentation intellectually engaging for the audience.

2. Work-in-progress studies: Using conferences for feedback

Conferences are also valuable spaces for presenting research that is still in progress. Many conferences actively encourage this type of submission.

This format is particularly useful when you want to:

• test your research design,

• receive feedback on methodology or theoretical framing, or

• refine the direction of the project before completing the study.

However, this approach carries some challenges. Early-stage research may lack sufficient data or theoretical depth, which can weaken the initial impression. There is also a small risk that ideas could be developed faster by others if they move more quickly after hearing them.

Presentation tip:
Focus on your research question, conceptual framework, and methodological approach rather than presenting incomplete details. This allows you to gather meaningful feedback while still protecting the core idea.

3. Literature reviews or conceptual papers: Demonstrating intellectual depth

If your research project is still building its theoretical foundation or if you are working on a long-term project, submitting a literature review or conceptual paper can be an effective strategy.

The main goals of this type of presentation are to:

• synthesize existing knowledge,

• demonstrate a deep understanding of the field,

• position your project within the broader research landscape, and

• receive feedback on theoretical and conceptual approaches before conducting empirical work.

Not all conferences accept purely conceptual papers, and literature reviews may appear less engaging if they lack concrete examples or analytical insights.

Presentation tip:
Highlight the research gaps you intend to address. This makes the presentation more dynamic and helps audiences see how your project contributes to ongoing scholarly debates.

4. Collaborative or team-based projects: learning through partnership

If you are working as a research assistant or collaborating within a research team, presenting a joint project can also be a valuable option.

This format allows you to:

• share results from collaborative research,

• introduce new methodologies or datasets, and

• build connections between research groups.

Often the presentation is delivered by one representative of the team or by several members together. For research assistants, this can be an excellent opportunity to demonstrate presentation skills, deepen professional relationships with supervisors, and explore future collaborative possibilities.

A strategic way to think about conferences

One useful approach is to view conferences as part of the research lifecycle:

• Idea stage: present a conceptual paper

• Design stage: present a work-in-progress study

• Analysis stage: share preliminary findings

• Completion stage: present the final or published research

Approaching conferences this way allows a single project to generate multiple scholarly interactions while maximizing the value of each stage of research development.

Conferences are important intellectual spaces in the process of knowledge production. Choosing the presentation format that aligns with both the stage of your project, and your personal goals helps you make the most of these opportunities.

Before submitting to a conference, it is worth asking yourself:

Preparing your presentation with this clarity in mind will make the experience far more meaningful.

Part of the problem was that errors in his research were hidden. The conclusions he reported did not reflect the reality of the evidence because the necessary trials had not been conducted rigorously. Yet those findings were used to justify a series of experimental procedures on patients, leading to tragic outcomes.

This story is not only about one individual. It is an extreme case, but it illustrates a fundamental issue in science:

In academic research especially in the social sciences and education data distortions rarely appear as misconduct like the one portrayed in the Netflix documentary. More often, they emerge as small methodological biases that accumulate over time. Yet even small distortions can lead to misleading conclusions and sometimes serious consequences.

The common misconception: “Numbers don’t lie”

The phrase sounds convincing. Methodologically, however, it is misleading.

Data itself does not lie. But research processes can produce biased data.

In research practice, distortions often emerge across three layers:

1. Research design

2. Analytical procedures

3. Interpretation of findings

A study can be ethically conducted and still produce misleading conclusions if one of these layers is flawed.

1. Weak research design: When the question is wrong, the data will be too

Research design determines whether data genuinely reflects the phenomenon under investigation. A poorly designed project can misdirect a study from the outset.

Consider a hypothetical example: a university surveys students about their satisfaction with an academic program. An online questionnaire is distributed, and 2,000 responses are collected. The results show that 85% of students report being satisfied.

Does this mean the program is successful? Not necessarily. Several methodological issues may be present:

Sampling bias.

Students who are dissatisfied may simply ignore the survey. They may feel disengaged or believe their feedback will not matter. Those who are satisfied may be more willing to respond.

Instrument bias.

If the questionnaire only asks questions such as “What do you like most about the program?” without including open-ended questions about concerns or dissatisfaction, the data will naturally skew toward positive responses.

Over-interpretation.

Students may report being “moderately satisfied,” yet still believe improvements are necessary. If leadership sees only the headline figure—85% satisfaction—important problems may be overlooked.

Before collecting data, researchers must ask themselves:

• What exactly am I measuring?

• How am I measuring it?

• Which voices might be missing from this dataset?

2. Confirmation bias: Seeing only what we expect to see

One of the most pervasive cognitive traps in research is confirmation bias: the tendency to seek evidence that supports our assumptions while overlooking contradictory findings.

Imagine a study investigating whether meditation improves workplace productivity. A researcher tracks employees who practice meditation for eight weeks and observes a 10% increase in productivity. The study is published with the headline:

“Meditation improves workplace productivity.”

However, the design may contain serious weaknesses:

No control group.

Without comparing the meditation group to employees who did not meditate, we cannot determine whether meditation was the actual cause of the improvement.

Ignoring conflicting data.

Some participants may have experienced stress or reduced productivity due to the added discipline of daily meditation. If those results are excluded or overlooked, the conclusion becomes misleading.

Selective analysis.

Researchers may consciously or unconsciously choose statistical procedures that produce favorable results rather than examining the full range of analytical possibilities.

Methodologically, this is an issue of internal validity. Strategies to reduce confirmation bias include:

• Incorporating control groups into research design

• Pre-registering hypotheses when possible

• Reporting all results, including those that contradict expectations

• Working collaboratively so that colleagues can challenge assumptions

3. P-Hacking: When data is “manipulated” until results look significant

Another problem increasingly discussed in research methodology is p-hacking. This occurs when researchers repeatedly test different analytical approaches until they obtain a statistically significant result, typically when p < .05. The outcome appears statistically valid, but it may simply reflect random variation.

P-hacking is especially likely when:

• A dataset contains many variables

• Multiple analytical methods are possible

• No pre-specified analysis plan exists

Consider another hypothetical study examining whether classical music improves memory performance.

Initially, the analysis finds no significant difference between participants who listened to classical music and those who did not. Instead of reporting this null finding, the researcher begins experimenting with alternative analyses:

• Dividing participants into smaller subgroups (for example, only men, or only participants over 30)

• Switching statistical methods (from t-tests to ANOVA to regression models)

• Removing outliers until significance appears

Eventually, the researcher discovers that “men over 30 who listen to classical music show 15% better memory performance.”

The result looks compelling. But when enough analyses are attempted, statistically significant patterns will inevitably appear by chance. Not every result with p < .05 reflects a meaningful phenomenon.

Research integrity is not only an ethical issue

Research integrity is often framed as an issue of personal ethics. In reality, it is also a matter of methodological systems and research processes.

A rigorous study requires:

• Clear research design

• Transparent procedures

• Honest analytical practices

• Careful interpretation of results

Ethics alone does not guarantee reliable knowledge. Sound methodology does. And ultimately, responsible research requires both.

Now that my advisor and I have submitted the article to a journal, I want to share this approach. It is not a new technique, but it remains one of the most powerful tools for building a solid scholarly foundation for a big research project.

What is an annotated bibliography — and why does it matter?

An annotated bibliography is a carefully curated list of scholarly sources—articles, books, book chapters, dissertations—where each entry is accompanied by a short academic annotation.

Each annotation typically ranges from 100–300 words and includes:

• A concise summary of the core argument

• The theoretical framework or conceptual approach

• The research methodology

• The study’s scholarly contribution

• Its relevance to your research question

• A brief critical reflection (when needed)

The key point: an annotated bibliography is not simply a set of summaries. It is a thinking tool that helps you understand the intellectual structure of a research field.

A strong annotated bibliography demonstrates three core research competencies:

• Source evaluation — recognizing which works are credible and why

• Synthesis — identifying major lines of argument within the field

• Positioning — beginning to see where your own work situates within that scholarly conversation

For this reason, in many projects an annotated bibliography is not a preliminary step. It is the foundation of the entire literature review.

When should you use an annotated bibliography?

This method is particularly valuable when:

• You are entering a new research area

• The topic contains multiple theoretical strands

• You need to identify a research gap systematically

• A research team must share a common literature base

In our project, my advisor and I reviewed and analyzed approximately 75 sources, including books, edited books, and journal articles. That number was large enough to construct a coherent and nuanced intellectual landscape of the topic.

A common misconception is that literature reviews require reading as much as possible. In reality, what matters more is reading strategically and synthesizing systematically.

Annotated bibliographies make that possible.

Three levels of annotated bibliography

Depending on your research goals, annotations can operate at three levels:

• Descriptive — summarizing the source

• Evaluative — assessing its scholarly value

• Analytical — situating the source within broader theoretical debates

In academic research projects—especially academic journal articles—the analytical level is almost always necessary.

A strong annotation should answer three questions:

1. How does this study contribute to the broader intellectual landscape of the topic?

2. Does it extend, challenge, or replicate previous findings?

3. How does it inform my own research question?

Building an annotated bibliography like growing a “Knowledge Tree”

Here is the practical process I used in the Belonging project.

Step 1 — Define clear source selection criteria

Not every article containing the keyword belonging was included. We applied explicit criteria:

• The study offered a clear theoretical contribution

• It presented strong empirical evidence

• It had significant influence within the field

• Or it opened new directions for research

Step 2 — Write annotations using a consistent structure

Each source followed the same structure to allow comparison:

• Research objective

• Theoretical framework

• Methodology

• Key findings

• Scholarly contribution

• Relevance to the broader theme

Consistency becomes essential when working with dozens of sources.

Step 3 — Begin thematic grouping early

Do not wait until you begin writing the literature review. While drafting annotations, I could already see clusters of ideas emerging.

Step 4 — Move from annotation to thematic synthesis

A well-developed annotated bibliography naturally evolves into the structure of the literature review. It is like building the framework before writing the paper itself.

In our Belonging project, my supervisor organized the literature into seven thematic clusters:

• Belonging in contemporary societies

• Belonging in place-based learning

• The digital context of participatory belonging

• Belonging in online learning

• Topologies of belonging

• Belonging and youth mental health

• Belonging during COVID-19

Writing careful annotations from the beginning makes the literature review faster to write later. It reduces repeated reading and makes it easier to revisit sources months or even years later.

For researchers working on belonging, the system we developed may also serve as a useful reference point.

A practical starting point

If you want to experiment with this approach, start small:

• Select 20–30 core sources and/or journal articles

• Write 150–200-word annotations for each including key information I listed above

• Use the same structure for every entry

• After 15–20 sources, begin identifying thematic clusters

Tools that work well for taking note include:

• Excel or Google Sheets

• Zotero

• MAXQDA

• Notion

For a few seconds, my heart raced. There was a flash of panic. Thankfully, I regained control, braked in time, and avoided what could have been a serious accident. I might not be sitting here writing this otherwise.

After I steadied myself, an unexpected thought appeared in my head:

Research isn’t that hard. Driving is harder.

Last year, one of the failures that hurt me most was failing the Canadian G (full) driving test three times.

In Ontario, obtaining a permanent driver’s license requires passing three stages:

• G1 – a knowledge test. You may drive legally, but only with a fully licensed driver (5+ years of experience) beside you.

• G2 – a road test covering residential and highway driving. You may drive independently, but the license is valid for five years.

• G (Full) – a highway-focused road test granting permanent driving privileges, recognized in some other countries, including Vietnam.

Years ago, when I was rejected from several PhD scholarships, I didn’t cry. When journal submissions were rejected, I remained composed. Yet each time I failed the driving test, I cried uncontrollably.

The more I reflected, the more I realized the two journeys share striking similarities.

Doing more does not mean doing well

I have held a G2 license for four years. I drive regularly both on local roads and highways. Some trips span hundreds of kilometers. I also drive my child to school daily.

I look like an experienced driver, but failing the full license test forced me to confront an uncomfortable truth: driving frequently does not mean driving correctly. It does not mean meeting standards. It does not mean mastering the skill.

Looking back at my failed attempts, I realized:

• When merging onto highways, I hesitated instead of accelerating decisively.

• When changing lanes, I lacked confidence.

• On my third test, I missed a right-turn signal from the car ahead and failed to yield appropriately.

Last week’s dangerous moment came from the same root: familiarity and competence.

Many researchers do a great deal: read extensively, collect abundant data, and write many manuscripts. But quantity does not guarantee methodological rigor, coherent argumentation, or analytical depth.

Experience becomes competence only when paired with reflexive awareness:

• What exactly am I doing?

• How am I doing it?

• Does it meet disciplinary standards?

• Can I justify my decisions methodologically?

Quantity does not equal quality. Habit does not equal mastery. A real researcher must remain intellectually humble, willing to learn, to refine skills, to abandon ineffective habits, and to grow. Doing more does not mean doing right. And certainly not doing well.

The gap between knowing and doing

I did not fail the driving test because I didn’t know the rules. I understood speed requirements and highway regulations clearly. I knew where I made mistakes. The issue was not knowledge. It was execution under real pressure.

There is always a gap between knowing and doing, between theory and practice.

During our graduate schools, we are exposed to theory, frameworks, and methodological procedures. Yet when confronted with an actual research project, many struggle to apply those principles appropriately within specific contexts.

Research competence is not built from “knowing.” It is built from doing—repeatedly—making mistakes, revising, and reflecting.

You may experience this personally. Sometimes you could explain a method fluently. But when designing a study, collecting data, or conducting analysis, uncertainty emerged not from lack of intelligence, but from lack of embodied practice.

Like merging onto a highway: I knew I needed to accelerate confidently. But only when placed in real traffic, under time pressure, did I understand what decisiveness truly required.

The gap between theory and practice is not a sign of failure. It is evidence that we are in the right place to learn.

Multitasking is an illusion. Focus is power

Driving is a perfect example of multitasking: monitoring speed, reading signs, observing surrounding vehicles, making split-second decisions. In life, we juggle multiple roles: family, primary employment, side projects, study, research. High-quality research requires sustained periods of deep focus.

During my PhD, I managed coursework, worked as a teaching assistant, attended projects as a research assistant, wrote my doctoral dissertation, and collaborated with colleagues. I maintained quality by reducing multitasking intentionally: dedicating one or two full days to a single task before shifting to another.

That rhythm preserved clarity and coherence in my thinking.

Multitasking may make us busy.
Only focus allows us to work well.

Tools are helpful — But they cannot replace competence

The reason behind last week’s moment was my overreliance on a built-in supportive tool. On highways, I often turn on cruise control. It maintains speed and distance automatically. It allows my feet to rest. But during the rain and snow, the system disengages automatically. That day, it turned off—and I did not notice immediately. Out of habit, I assumed the car was regulating distance.

With the rise of AI, this principle is more urgent than ever. AI resembles cruise control. If we allow tools to lead entirely, to read for us, write for us, analyze for us, even think for us, the risk is not merely weaker scholarship. The greater risk is gradual erosion of our own research capacity.

The solution is not to reject AI. Like cruise control, AI can be an effective assistant:

• synthesizing large bodies of literature,

• suggesting structures,

• supporting preliminary drafts,

• accelerating routine tasks.

But it must not drive. The researcher remains responsible for:

formulating research questions,

making methodological decisions,

conducting analysis and interpretation,

upholding academic integrity throughout.

After all, both driving and research are journeys that demand presence, self-awareness, and continuous adjustment. Even when we hold degrees, licenses, titles, or years of experience, we remain learners.

Research is not difficult because it is complicated. It is difficult because it requires honesty about our capabilities, about the gap between what we know and what we can execute.

That gap will be filled through practice, reflection, and sometimes failure.

Self-driving vehicles may come to use in the future. But in research, no tool will ever replace human judgment. Tools may assist the journey; they must not determine the direction.

I failed my driving test three times. I have been rejected from journals. Those moments did not slow me down. They made me steadier.

Research is not a destination. It is a long road. Each stumble teaches us to drive with greater skill, greater care, and greater responsibility to ourselves, to knowledge, and to the scholarly community.

During the first week back at work, I intentionally observed myself in the role of a researcher. Looking back at 2025, I realized I had grown faster, further, and deeper than I had ever planned.

• November 2024: I defended my PhD.

• December 2024: I took the winter break and Christmas holiday.

• January 2025: I revised and submitted the final version of my dissertation, formally closing my doctoral chapter.

• February 2025: Like many international graduates, I began a new chapter—searching for full-time work in Canada.

In March 2025, after a month of applications, I received four interview invitations. Some rejections followed. Some silence, too. That same month, my dissertation had been awarded the Best Dissertation Award from the Comparative and International Education Society (CIES), the largest academic association in the U.S. in my research area. The contrast between uncertainty and recognition was striking.

Then came a fifth interview, this time for a Director of Academic Research position. Two more rounds followed within two weeks. Soon after, I received the offer. I had mentally prepared for six months of full-time job searching. Instead, within two months, I made what a colleague called “a big move in my career development”, stepping into a leadership role, overseeing and leading research development at Yorkville University in Canada.

I began in April 2025. My schedule quickly became 37.5 working hours per week, plus over 20 hours commuting, sustained over eight intense, focused, and deeply productive months. By the end of the year, I was recognized as one of the university’s ten outstanding achievements. Just last week, my annual evaluation was rated: Excellence Performance Beyond Expectations.

Alongside this full-time role, I continued publishing with colleagues across countries. By the end of 2025, I had published six Scopus-indexed articles, with three more accepted for 2026. Five were Q1, two Q2, and two Q3. I served as first author on five papers and co-authored the remaining four.

Beyond academia, I am also a mother and a wife. My days are filled with meetings, deadlines, strategic planning, and research management. After work, I shift into a different role, raising my child, teaching her to speak Vietnamese, accompanying her when she learns how to listen and behave with empathy.

When I reflect on 2025, gratitude comes first. My husband carried much of the household load so I could pursue my goals wholeheartedly. My colleagues and collaborators made meaningful publications possible. My supervisor offered unwavering guidance. And above all, I am grateful for the persistence I have cultivated over many years.

As I step into 2026, I don’t feel compelled to do more. I will not measure the year by how many additional achievements I can accumulate. Instead, I carry a clearer awareness of how I work, how I research, and where I invest my energy.

The question that emerged during my first week back was simple but profound:

How can I continue doing research in a way that is sustainable, intellectually deep, and not repetitive?

Research always moves forward. We become outdated only when we stop updating ourselves.

We update our phones annually. Software evolves constantly. Research tools release new versions every year. Yet many of us quietly continue doing research exactly as we were trained years ago because “that’s how I learned” or “that used to work.”

This year, instead of setting productivity targets like “more publications”, I am committing to six intentional research practices.

1. Revisit research methodology books—especially new editions

Methodology books are not meant to be read once during graduate school and forgotten. They are foundational epistemological anchors. Every time I revisit them, especially updated editions, I find that my understanding of rigor, reflexivity, and research quality has evolved. Re-reading methodology recalibrates my internal research compass.

2. Learn one new research method

No one knows everything. A PhD often means deep specialization in one methodological tradition. But staying too long within a single paradigm can quietly limit our thinking. Learning a new method expands our analytical imagination. It sharpens our research questions and fosters greater openness when engaging with others’ work.

3. New co-authors for publications

Collaboration has transformed the way I think. Yet I’ve learned that successful collaboration requires more than expertise, it requires alignment in rhythm, values, and trust. The right collaborator accelerates progress; a mismatched one teaches patience and perspective.

I am deeply grateful for the colleagues who have co-authored meaningful articles and book chapters with me. But this year, I intend to intentionally reach out to new scholars, those I have cited, those I follow on LinkedIn, those whose work has shaped mine.

4. Deepen my use of research tools and technology

For years, I conducted literature reviews and coded data manually because that was how I was trained. Learning tools like MAXQDA, Covidence, and Zotero transformed my workflow. They did not make my research “better”, academically technology never replaces scholarly thinking. But they improved clarity, efficiency, and sustainability.

AI and digital tools are not substitutes for intellectual rigor. They are energy managers. They allow us to reserve cognitive bandwidth for conceptual and theoretical work.

5. Become a research mentor, so I can keep learning

Mentorship is not merely about guiding others. It compels me to articulate what I know, methodologically, theoretically, practically. Mentoring strengthens confidence while preserving humility. Research remains a lifelong learning process, for both mentor and mentee.

6. Let go of an ineffective research habit

For me, that habit is sitting in front of a screen in prolonged ambiguity, or pretending I understand something when I don’t. Instead of masking uncertainty, I want to confront it directly. Where am I unclear? Where am I inefficient? Where am I avoiding depth?

Slowing down can be intellectually honest.

Recently, I read The 12 Week Year. It reminded me of something simple yet powerful: rather than viewing an entire year as an overwhelming horizon, focus intensely on shorter cycles with high commitment.

Perhaps 2026 does not require ambitions. Perhaps it requires clarity in small choices:

If 2025 was the year I flew fast, 2026 is the year I research with intention. Slower, but deeper, more sustainable, and aligned with my long academic journey.
